Retreat Terms & Conditions
We’re pouring a lot into making this retreat magical for you — planning, prepping, and paying our vendors well ahead of time. That’s why your deposit is required to hold your spot.
Here’s the deal: deposits are non-refundable. If life gets in the way, you’re welcome to gift or sell your spot to a friend, but that arrangement is completely up to you and subject to availability. Think of it as a courtesy option, not something we manage — we can’t play middleman. Outside of that, no refunds will be issued apart from the terms listed below.
This policy keeps everything fair, protects the retreat for the whole group, and lets us focus on creating the kind of week you’ll remember forever.
Below you’ll find the full terms and conditions for your booking.
Booking & Payments
- A $1,500 deposit is required at the time of booking if the departure date is more than two months ahead. This deposit is non-refundable but transferable to another participant. You’re welcome to find someone to take your place and arrange that transfer directly with them — but this is strictly a courtesy, and we cannot act as the middleman.
- If booking is made within two months of the retreat start date, full payment is required at the time of booking.
- The remaining balance is due no later than December 15, 2025.
- If full payment is not received by the due date, a reminder will be sent. If payment is not received within 7 days of the reminder, the booking may be treated as cancelled by you and the cancellation terms below will apply.
Cancellation by Participant
If you or anyone in your party wishes to cancel, notification must be made in writing by email. The cancellation will be effective from the U.S. working day (Monday–Friday, excluding public holidays) on which we receive your written notice. The following charges will apply:
- 60 days or more before departure: Deposit only
- 59–42 days before departure: 35% of total price
- 41–21 days before departure: 50% of total price
- 20 days or fewer before departure: 100% of total price
Cancellation by Organizer
- This retreat is guaranteed to run with a minimum of 8 participants. If the minimum number is not met, we will notify you and provide a full refund of all payments made.
- Apart from the minimum participation requirement, we will only cancel if a situation arises that is beyond our control, including but not limited to: natural disaster, adverse weather, civil or political unrest, war, terrorism, industrial action, or illness of a retreat leader.
- In the unlikely event of cancellation by us, you will receive a full refund of payments made. However, we will not be liable for any additional expenses you may have incurred, such as airfare, visas, insurance, or other travel costs.
Insurance
- Travel insurance is strongly recommended. Your policy should cover personal accident, medical expenses, and repatriation.
- We strongly recommend additional coverage for trip cancellation, lost baggage, delays, or other incidents that may arise.
- It is your responsibility to arrange and confirm adequate insurance before departure.
Health & Responsibility
- By booking, you confirm that you are in suitable physical and mental health to participate in retreat activities.
- You are responsible for informing us in advance of any medical conditions, allergies, or dietary needs.
- We reserve the right to decline participation if we believe a guest’s health or behavior compromises their safety, the safety of others, or the overall retreat experience.
Liability Release
- Participation in retreat activities (including but not limited to excursions, workshops, tours, and meals) is entirely at your own risk.
- We are not liable for any injury, illness, accident, loss, damage, delay, or expense resulting from your participation, except where directly caused by our negligence.
- You agree to release and hold harmless the retreat organizers, leaders, and partners from any claims arising from your participation.
Photography & Media
- By attending, you consent to being photographed or filmed for use in promotional materials (website, social media, marketing).
- If you prefer not to be photographed, please notify us in writing before the retreat begins.
